Every small and medium business in Romania hears the same advice: "you need to digitalize." Rarely does anyone explain what that actually means, what it costs, or where the real return is. The result is a lot of money spent on software nobody uses, and a lot of teams who now distrust the whole idea.

The problem is that digitalization gets treated as a shopping trip instead of a sequence of decisions. So before you sign up for anything, here is how we'd actually start.

First, map where the time goes

You can't fix what you can't see. Before buying anything, spend a week writing down where your team's hours actually disappear. Not the polished version — the real one. Who re-types the same data into three systems? Who chases a signature by phone? Who exports a spreadsheet on Friday only to email it to someone who pastes it into another spreadsheet?

These repeated, manual, error-prone tasks are your map. They tell you exactly where digitalization pays off, and — just as important — where it won't. A process that runs twice a year is not worth automating. A process that runs forty times a day is.

Fix the foundation before the fancy stuff

There's a strong temptation to jump straight to AI, dashboards, and predictive analytics. Skip it for now. If your customer data lives in one person's inbox and your invoices are named final_v3_FINAL.pdf, no amount of AI will save you.

The unglamorous foundation comes first:

  • One source of truth for customers, orders, and stock — not five disconnected copies.
  • Clean, structured data so that anything you build later can actually read it.
  • Access that survives people leaving — knowledge in systems, not in heads.

Automate the busywork, not the judgment

Once the foundation is solid, automation is where SMBs see the fastest payoff. The goal isn't to replace your team — it's to delete the tasks that waste them. The trick is to automate the mechanical work and leave the judgment to people. Done well, this is where hours come back to your week.

Buy off-the-shelf where you're ordinary, build where you're different

Most of what your business does is the same as everyone else's: accounting, payroll, email. Buy that. It's cheap, it's maintained for you, and reinventing it is a waste.

But every business has one or two processes that are genuinely its own — the thing that makes you you. Forcing those into generic software is where teams get frustrated and revert to spreadsheets. Start small, prove it, then scale

Pick the single most painful, most repeated process from your map. Digitalize just that. Measure the hours saved. Use that proof — and the trust it earns from your team — to fund the next step.

Digitalization isn't a project with an end date. It's a habit: spot the friction, remove it, repeat. Start with one thing this month, and let momentum do the rest.
